Building Services Lead Job Description

Under the direction of the Aztec Recreation Senior Facilities MEP Engineer and the leadership of the Building Engineers, the primary responsibility of the Building Services Lead is to ensure that the facilities and equipment are operating in accordance with guidelines established by Associated Students, San Diego State University, and LEED EBOM. Facilities and equipment include but are not limited to: HVAC systems, plumbing, electrical, lighting, mechanical, painting, changing air filters, and building modifications, repair of commercial fitness equipment, laundry equipment, general preventative maintenance of buildings and equipment as assigned. The Aztec Recreation Building Services Lead provides support to the maintenance assistant team at a higher level including assisting with staff trainings, performing critical administrative duties as needed and giving direction, guidance and support in the absence of full-time staff.  The Building Services Lead is responsible for the execution of day-to-day maintenance activities including special projects that take place within Aztec Recreation facilities. 

ESSENTIAL DUTIES & RESPONSIBILITIES

Primary Functions

  • Follows the leadership and direction of the Senior Facilities MEP and Building Services Engineers in performing daily assigned duties
  • Performs emergency and scheduled advanced repairs and maintenance related to various mechanical, electrical, plumbing systems; replaces light bulbs/lamps on the interior/exterior, performs advanced carpentry and painting; repairs and maintains building fixtures, furniture and equipment  
  • Reviews FMX work order list daily, completes FMX work order submittals, and performs maintenance repair tasks as assigned, to ensure that all Aztec Recreation (ARC, ARC Express, Aztec Lanes, Racquetball and Aquaplex) facilities are cleaned and maintained
  • Assists with reviewing work orders in Connect2 and transferring to FMX when needed
  • Assists with the inspection of the facility, workrooms and maintenance storage rooms for safety, cleanliness and organization on a weekly basis and takes proper action to address and correct any problems
  • Inventories tools and supplies weekly and communicates order needs to supervisor
  • Completes the daily shift reports, Incident Reports, Injury/Illness Reports, FMX work orders, and other documentation of incidents within Aztec Recreation facilities
  • Performs daily rounds of the building completed throughout shift reporting any maintenance needs
  • As expert with the Aztec Recreation facilities fire alarm systems, operations, and emergency evacuation procedures, performs fire and life safety procedures, and acts as responsible party for ensuring fire and life safety in the absence of full time staff
  • Supervises and assists outside contractors while working in Aztec Recreation facilities when needed 
  • Completes special projects as assigned
  • Assists with administrative tasks including but not limited to ordering supplies, organizing invoices, tracking transactions, and contacting vendors 
  • Assists the Senior Facilities MEP Engineer and Building Engineers in the training, education, and counseling of Building Services Assistants to perform their duties 
  • Effectively direct Building Services Assistants staff meet daily needs set forth by the FMX report and prepare for upcoming projects in periods of down time
  • Coordinates the Building Services Assistants training program to make sure timelines are met, employees are properly evaluated, and appropriate shift scheduling is occurring
  • Leads in the set-up and clean-up of projects throughout the day and occasionally late at night or early in the morning to ensure on-time completion of projects
  • Assists with conducting monthly staff meetings for the building services department
  • Assists with the recruitment, selection, and hiring of Building Services Assistants as well as evaluating and scheduling staff 
  • Working with the Building Services team to act as another building representative to ensure that Associated Students, San Diego State University, and Aztec Recreation policies are known and adhered to by users; communicating policies and standards of conduct to effectively express expectations and problems to customers, students, and employees using the facilities

Customer Service and Collaboration

  • Establishes and maintains working relationships with various Associated Students and University departments
  • Ensures customer service standards are met when responding to customer inquiries in a timely manner
  • Maintains positive and effective working relationships with all customers
  • Informs supervisor of any customer issues

Safety

  • Ensures all operations are conducted with safety of staff and customers as first priority, and in accordance with the Injury and Illness Prevention Plan and other safety policies
  • Adheres to Associated Students’ Code of Safe Practices
  • Reports accidents to supervisor and reviews changes required to avoid reoccurrence Ensures completion proper documentation is completed for each accident (employee and/or non-employee) and forwards to supervisor
  • Reports maintenance problems and/or broken and unsafe equipment to the appropriate party immediately

QUALIFICATIONS

Minimum and Preferred Requirements

Education:

  • Must be currently enrolled at San Diego State University, taking a minimum of 6 units
  • Engineering majors preferred

Experience:

  • Minimum 6 months employment with Aztec Recreation required
  • Background in fixing and repairing building fixtures and/or mechanical equipment is preferred
  • Must be able to lift up to 45 pounds repetitively and be able to stand for long periods
  • Advanced knowledge and experience in working with hand tools and power tools and advanced experience with carpentry and painting preferred  
  • Knowledge and/or participation of Aztec Recreation programs and facilities preferred

License & Certification:

  • American Red Cross First Aid and CPR/AED certifications are required
  • Valid California Driver’s License with proof of current insurance required

Trainings: 

  • Must complete Gender Awareness and Sexual Harassment Prevention training within 30 days of hire

  • Solid foundation of experience with repair and maintenance of facilities and equipment
  • Excellent interpersonal skills; ability to relate and communicate effectively with a diverse population of students, staff, faculty, colleagues and guests
  • Must have strong English language skills and the ability to read, write and verbally communicate at a level appropriate to the duties of the position
  • Ability to operate a computer and ability to learn and utilize new software programs
  • Ability to troubleshoot, problem solve and remain calm and professional under difficult situations
  • Ability to manage information flow (including internal, external and customer communication)

SCHEDULE & WORKING CONDITIONS

This is a part-time position. Must be able to work up to 20 hours per week including evenings and weekends; employee schedules vary according to business needs. Opportunities to work additional hours during the breaks are available.

RELATIONSHIPS

Inside the Organization:

  • Reports to the Senior Facilities MEP Engineer
  • Assists, takes direction from and works closely with Building Services Engineers
  • Assists with supervising and training Building Services Assistants
  • Will coordinate facilities and equipment repair requests with Operations Supervisor
  • Interaction with other full-time staff within Aztec Recreation, including, but not limited to, Recreation Director, Associate Director, Member Services Manager, Member Services Supervisor, Aquaplex Manager, Aquaplex Coordinator, Fitness and Wellness Coordinator, Competitive Sports Manager, Outdoor Programs Coordinator, Marketing Coordinator, and Office Supervisor
  • Additional interactions may include part-time staff within Aztec Recreation

A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with Associated Students. Failure to satisfactorily complete the background check may affect the application status of applicants or continued employment of current Associated Students employees who apply for the position. Fingerprinting is required for all employee and volunteer positions that have direct contact with minor children.

MVR and DMV record review is required for positions that drive university vehicles and/or passengers.
