Chief of Staff

Definition & Typical Tasks:

The Chief of Staff is responsible for assistance to the A.S. President, the A.S. Executive Officers and the A.S. Council, as needed. The Chief of Staff supervises the President’s Cabinet. Responsible for conducting President’s Cabinet meetings and agendas. Responsible for preparing reports on the status of the work of the President’s Cabinet. Assists the A.S. President administratively and will also work as a temporary proxy when the A.S. President and other representatives are not available, as needed. Responsible for simplifying important legislative information for all community and on-campus audiences. Will facilitate student involvement in the legislative decision making process. Work on projects alerting the public through the media on advocacy efforts, using those media outlets to educate the student body about issues that concern them. Will make weekly reports to the A.S. Council. Will assist in other duties as assigned, by the A.S. President.

Relationships:

Under the direct supervision of the Programs Coordinator and responsible to the A.S. President.

Qualifications:

Education:

Must be regularly enrolled SDSU student, carrying at least six units per semester.

Experience:

Proficiency in Microsoft Word required. Experience in taking minutes and knowledge of Robert's Rules of Order (Parliamentary Procedure) helpful. Have excellent writing and communication skills PC proficient – Microsoft Office, Excel, Powerpoint, Internet and other database systems preferred.

Special Considerations:

Ability to work well with people. Knowledge of the Associated Students and SDSU campus is an asset. Highly organized individual with keen written and verbal skills and exceptional attention to details. Ability to work in a diverse, frequently changing population of students. Able to work well with little supervision.

Must be available over the summer and some weekends.

Compensation:

Range II, Step 1 $8.65/hour (10 hours per week during school year, 40 hours over summer)

Government Promotions Assistant

Definition:

Under the direction of the Executive Vice President and under the supervision of the Government Executive Assistant, the Government Promotions Assistant is responsible for promoting campus awareness of Associated Students as a whole, in particular A.S. Council events, activities and stances on political issues. This position is also responsible for but not limited to assisting with writing promotional pieces, campus tabling and ordering giveaway items.

Typical Tasks:

Submits calendar requests, reserves space and coordinates promotional activities of Associated Students, which includes training students on how to promote A.S., conducting promotional tabling and creation of written materials; assists the Executive Officers in coordinating and scheduling of A.S. Council member participation in promotional activities; assists with production of newsletter articles and fliers, taking photographs, proofreading and copy writing of promotional materials.

Coordinates and reserves space for government-related displays and ensures they are well- stocked. Coordinates and/or participates in making classroom or other group presentations and represents A.S. government at campus events and performs other activities as assigned. May have to be present at some weekend events.

Qualifications:

Education:

Must be a regularly enrolled SDSU student carrying at least six units per semester. Academic major or significant coursework in communications, public relations, marketing or journalism preferred.

Experience:

Previous experience with desktop publishing programs such as MS Word. Strong organizational skills, grammar, editing and spelling skills a must. Previous experience in writing copy and producing promotional materials, as well as use of Internet and other resources for research materials preferred.

Abilities:

Must be able to coordinate meetings, make presentations and work well with others. Ability to handle multiple tasks and meet deadlines, work independently and with frequent interruptions are all must-have qualities. Must have writing samples (from previous employment or coursework) and provide copies of samples for interview.

Typing Requirements:

40-50 wpm

Compensation:

Range II, step one ($8.65/hour), part-time (3-6 hrs./wk. summer; 3-5 hrs./wk fall; 5-8 hrs./wk spring)

Elections Manager

Definition:

Under the direction of the Elections Coordinator and the supervision of the AS Government Executive Affairs and Programs Coordinator, is responsible for the operation and logistics of the AS General Elections.

Typical Tasks:

The Elections Manager is responsible for preparing the candidate packets; will place required advertisements in the Daily Aztec; will coordinate the candidates' orientation meeting, speeches and debates; place work orders for set-up/take-down of all poll sites, promotional banners and other marketing materials; open and close poll sites; inventory supplies needed; will assist in the training of poll workers; ensures that security provisions for elections are enforced; will attend all Election Committee meetings as an ex-officio member; and will perform any other duty as specified by the Elections Coordinator.

Relationships:

Will be under the direction of the Elections Coordinator and the direct supervision of the AS Government Executive Affairs and Programs Coordinator, and responsible to Elections Committee and Associated Students.

Qualifications:

Education:

Must be a regularly enrolled SDSU student carrying at least six units per semester.

Experience:

General knowledge of Microsoft Word/Excel is preferred.

Special Considerations:

Ability to work well with people. Ability to work under pressure. Flexible hours preferred. Ability to work independently and unsupervised. Ability to treat confidential matters with discretion.

Compensation:

Range I, Step 4 $7.72 (Approx. 20 hours fall semester and 60 hours spring semester)

Elections Coordinator (Volunteer Position)

Job Title:

A.S. Elections Coordinator

Compensation:

Volunteer position

Hours:

5-8 hours per week in the spring semester and 1 hour a week in the fall semester.

Job Description:

The Elections Coordinator:

  • Is responsible for giving direction to the Elections Manager and administering the election in accordance with the Elections Code.
  • Works with the AS Government Executive Affairs and Programs Coordinator.
  • Facilitates the candidates' orientation.
  • Reviews current Elections Code with committee members and candidates to ensure accurate interpretation of the code.
  • Chairs and coordinates the Elections Committee meetings and submits minutes to A.S. Council.
  • Regularly makes reports to A.S. Council regarding the election process.

The Elections Coordinator serves for a period of one year and coordinates all aspects of the AS General Elections.

Education:

Must be regularly enrolled SDSU student, carrying at least six units per semester.

Experience:

General knowledge of Associated Students and parliamentary procedure is preferred.

Special Considerations:

Self-motivated. Ability to work independently and unsupervised and ability to remain impartial and calm during sometimes tense political events. Ability to interpret and explain the Elections Code effectively. Ability to treat confidential matters with discretion.

A.S. Council Secretary

Definition & Typical Tasks:

The A.S. Council Secretary is responsible for taking and transcribing the official A.S. Council minutes. Responsible for compiling and producing Council agenda packets once a week, meeting strict deadlines. Responsible for distribution of packets and minutes. Prepares Council Chambers for meetings every Wednesday. Updates Council rosters and binders. The A.S. Council meets every Wednesday during the semester, from 3:30 p.m. to 6:30 p.m., and can sometimes run later.

Relationships:

Under the direct supervision of the Programs Coordinator and responsible to the A.S. Council and Associated Students.

Education:

Must be regularly enrolled SDSU student, carrying at least six units per semester.

Experience:

Extensive typing experience. A typing test will be administered during interview process. Proficiency in Microsoft Word required. Previous secretarial experience highly desirable. Experience in taking minutes and knowledge of Robert's Rules of Order (Parliamentary Procedure) helpful.

Special Considerations:

Ability to work well with people. Knowledge of the Associated Students and SDSU campus is an asset. Highly organized individual with keen written and verbal skills and exceptional attention to details. Ability to work in a diverse, frequently changing population of students. Office Assistant

Definition:

The Office Assistant assists the Government Affairs Office & Marketing Supervisor and the Government Executive Affairs & Programs Coordinator in accomplishing their responsibilities. She/he will be expected to answer basic general information questions regarding Associated Students and the campus. Primary responsibilities are: answering the telephones, customer service, routine typing tasks and other administrative projects, distributing daily mail, assisting in maintaining supplies in the copy machine, fax machine, and the printer, and at times, making deliveries.

Typical Tasks:

The Office Assistant must be courteous and pleasant at all times. He/she must be aware of current events and general information regarding the Associated Students and the University. As a receptionist, he/she receives guests and answers the phone. The Office Assistant will assist with typing tasks including memos, forms, letters, reports, and spreadsheets. He/she must be able to troubleshoot minimal machine (fax, printer, and copier) problems. Also, time stamping and distributing the Government Affairs Office mail. The Office Assistant will receive other assigned projects as they occur.

Relationships:

He/she is responsible to the Government Affairs Office & Marketing Supervisor and the Government Executive Affairs & Programs Coordinator.

Education:

Must be a regularly enrolled SDSU student carrying at least six units per semester. Applicant cannot be a voting member of an AS board, committee, or advisory board.

Experience:

  • Good typing skills and previous office/clerical experience.
  • Microsoft Word and Microsoft Excel experience required. Microsoft Publisher experience preferred.
  • Courteous, professional customer service skills are a must.

Special Considerations:

  • Ability to work well with different personalities.
  • Knowledgeable about the Associated Students and the infrastructure of the San Diego State University campus.
  • Ability to work under pressure and with constant interruptions.
  • Ability to work efficiently.
  • Appropriate dress code for a professional office required.

A.S. Legislative Research Assistant

Definition:

The Legislative Research Assistant (LRA) is a part-time student position and will focus on legislative research, organization efforts, and media communications. The LRA is responsible for reviewing important legislative information as assigned, clarifying the estimated impact of legislation on post-secondary students, and presenting information in a way which both educates and activates the campus and the community. In order to organize the power of college-aged voting constituents and those that support the university community, the LRA will facilitate student participation in the legislative decision-making process. It will also be the responsibility of the LRA to work on projects alerting the public through the media on advocacy efforts. The LRA will work to use newspapers, television and radio news to educate the student body about issues that concern them.

Typical Tasks:

Duties include, but are not limited to:

  • Tracking legislation as assigned, composing official correspondence for review/approval by superiors, and attending legislative hearings as assigned/
  • Conducting research on higher education policy problems and preparing investigative reports and analyses.
  • Managing any assigned administrative tasks such as scheduling meetings, follow-up phone calls, arrange working files and current resolution items/information, and the distribution of materials to AS Council, AS Executive Officers, and AS staff.
  • Assists with production and implementation of media events, assisting in preparation of news releases and opinion pieces.
  • Coordinating grassroots campaign activities, events, and training seminars.
  • Distributing and organizing written and/or oral communications on behalf of Associated Students' advocacy efforts as assigned.

Relationships:

Under the direct supervision of the Government Executive Assistant and responsible to the AS Vice-President of External Affairs.

Qualifications:

Education: Must be regularly enrolled SDSU student of junior, senior or senior plus status, or a graduate student, carrying at least six units per semester. Have at least a 2.5 overall GPA

Experience:

Have excellent writing and communication skills PC proficient - working knowledge and proficiency with Microsoft Office, Excel, Powerpoint, Internet and other database systems preferred

Special Considerations:

Familiarity with the Associated Students and SDSU campus are assets. Highly organized individual with keen written and verbal skills who is able to prioritize and complete tasks with minimum supervision. Ability to work in a diverse, frequently changing population of students. Possess developed knowledge of the workings of the State and Federal government, interests groups, and student government. Exhibit responsible attitude and work habits.

Hours:

Must be available at least 10 hours a week.

Compensation:

Range II, Step 4 $9.49/hour, (8-10 hours per week)
