Front Desk/Customer Service Assistant

Definition:

The Front Desk / Customer Service Assistant assists the Office Supervisor and the Business Services Manager with the following tasks:

  1. 1. Receptionist/Front Desk Responsibilities:
    1. Answer phones
    2. Greet and Assist Customers
    3. Sort and Distribute Mail
    4. Providing correct and prompt information to inquires from customers
  2. General Clerical
    1. Knowledge of Windows 2000 / XP
    2. Knowledge of Microsoft Word, Excel, PowerPoint, Access
    3. Meeting Maker & Eudora Email software
    4. Composition of memorandums/letters
    5. Filing
    6. Assist in the maintaining of office supplies inventory
    7. Processing of various invoices
    8. And other assigned tasks as may be needed of a general clerical or accounting nature

Position is supervised by Office Supervisor. In the absence of the Office Supervisor will be supervised by the Business Service Manager.

Typical Tasks:

The Front Desk / Customer Service Assistant must be courteous and pleasant at all times. He/she is to be aware of current events and general information regarding the University and Associated Students. Capable of locating/seeking answers from other departments in an effort to assist customers who require information beyond the programs of Associated Students.

Compose both memorandums and letters in proper format/process invoices.

Oversee the smooth operation of typical daily tasks in the absence of Office Supervisor.

Relationships:

Responsible to the Office Supervisor and/or Business Services Manager. Other Full-Time staff within the A.S. Business Office as becomes necessary.

Further interactions may include A.S. Executive Officers and Council, Finance and Facilities Board membership and CASE assistants.

Qualifications:

  • Must be currently enrolled at San Diego State University taking a minimum of 6 units and available to work a maximum 20 hours a week during academic year and possibly 40 hours during class breaks and summer.
  • A minimum of one year general office clerical work and ability to work independently with little supervision.
  • Ability to contribute to the streamlining of current front office systems and procedures.
  • Ability to work well with people, a strong dedication to provide quality customer service in a prompt and courteous manner.
  • Proper dress for working in a business office.
  • Friendly attitude and demeanor.

Hours:

Breaks, Summer work

Flexible. Up to 40 hours a week, M-F 8-4:30 pm

Academic Year

Hours dependent on scheduling needs, Office Hours are M-F, 8-4:30pm

Compensation:

RANGE I STEP 1: $8.00/hour
Rehire to position based on available hours to work as needed for coverage of the front desk reception area.




Accounts Payable Assistant

Definition:

Under the supervision of the Accounts Payable Supervisor, the accounting assistant will assist with the accounting tasks.

  • Completes the accounts payable check run from start to finish including: enters all invoices, runs and reviews an approval of entered invoices, and generates and distributes checks.
  • Generates all purchase orders
  • Answers vendor inquires such as check payment status
  • Answers telephone and performs receptionist duties in the absence of other clerical staff
  • Maintain vendor paid invoice filing

Qualifications:

Education: Business major preferred, but not necessary.
Experience: General clerical experience.
Special Consideration: Accounting experience.

Must be available to work 8am-12pm, and during Summer & Winter breaks.

Hours:

Up to 20 hours per week.

Compensation:

$7.50 - $8.44 per hour




Accounts Receivable Assistant I

Definition:

Under the supervision of the Accounts Receivable Supervisor, the accounting assistant will assist with various accounting tasks.

Typical Tasks:

Data entry, account reconciliations, distribution of various accounting forms (invoices, statements, reports, etc.), filing and answering phones.

Qualifications:

Education: Business Major preferred, but not necessary.
Experience: General clerical experience, 10-key by touch.
Special Considerations: Accounting experience.

Compensation:

Range I, $8.00 per hour
